Privacy Policy

Maiberry, Inc. ("Maiberry," "we," "us," or "our") operates the Maiberry platform, an AI-powered intelligence and briefing service for government entities. This Privacy Policy explains how we collect, use, and protect information in connection with the Service.

Maiberry is a business-to-government (B2G) service. We do not market to or collect data from members of the general public. Access to the Service is by invitation only, extended to authorized personnel of government entity clients.

1. Information We Collect

1.1 Account Information. When your organization's administrator creates your account, we receive your name, email address, and role within your organization. You may also provide this information directly when completing your account setup.

1.2 System Connection Data. When you log in to your organization's systems through Maiberry (such as Google Drive, Microsoft SharePoint, or other connected platforms), we receive an access token issued by that platform that authorizes Maiberry to read files on your behalf. We do not receive or store your passwords. Tokens are stored securely and used only to retrieve documents for briefing generation.

1.3 Indexed Content. Maiberry reads documents from the systems you log in to and creates structured representations (embeddings and summaries) derived from those documents. These structured representations are stored to enable briefing generation and the Maiberry chat interface. We do not store copies of your original files — your original files remain in your own systems.

1.4 Usage Data. We collect standard technical data about how the Service is used, including login events, briefing generation requests, and feature usage. This data is used to operate, maintain, and improve the Service.

1.5 Communications. If you contact us by email, we retain that correspondence to respond to your inquiry and improve our support.

2. How We Use Your Information

We use the information we collect to:

  • Provide and operate the Maiberry Service for your organization
  • Generate daily intelligence briefings and respond to chat queries
  • Maintain the security and integrity of the Service
  • Communicate with you about your account and the Service
  • Provide anonymized, aggregated peer benchmarking across our client base (see Section 4)
  • Identify opportunities, grants, and solutions relevant to your organization, which we may present directly or through partners, as described in our Terms of Service

We do not use your data to train AI models. We do not sell your data. We do not use your data for advertising.

3. Connected Systems and OAuth

When you log in to third-party systems through Maiberry, we use secure authorization protocols (such as OAuth 2.0) to request read-only access to your files. Maiberry does not request access to email, calendar, contacts, or any service beyond the document storage systems you choose to connect.

Maiberry's use of data received through Google APIs is limited to providing and improving the Service to your organization. Maiberry does not use Google user data for serving advertisements, for any purpose unrelated to the Service, or in any way that violates the Google API Services User Data Policy, including its Limited Use requirements.

You may revoke Maiberry's access to any connected system at any time through that platform's account settings (for example, myaccount.google.com/permissions for Google) or by disconnecting the integration within the Maiberry platform.

4. Benchmarking and Aggregated Data

Maiberry may use anonymized, aggregated data derived from its client base to provide peer benchmarking — for example, comparing a city's budget metrics or operational indicators to similar organizations. This analysis uses only aggregated, de-identified data. No client's identifiable information is visible to or shared with any other client.

You may opt out of benchmarking at any time by contacting legal@maiberry.com. We will apply your opt-out within 30 days.

5. Data Sharing and Disclosure

Maiberry does not sell, rent, or trade your information. We may share information only in the following limited circumstances:

  • Service Providers: We use third-party vendors to operate the Service, including cloud infrastructure, AI processing, and email delivery. These vendors process data only as necessary to provide services to us and are bound by confidentiality obligations.
  • Opportunities and Solutions: As described in our Terms of Service, we may use anonymized or aggregated information to identify grants, solutions, or services that may benefit your organization, which we may present directly or through partners. We will not share identifiable information with any partner without your explicit written authorization.
  • Legal Requirements: We may disclose information if required by law, court order, or governmental authority, or to protect the rights, property, or safety of Maiberry, our clients, or others.
  • Business Transfers: In the event of a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction. We will notify affected clients in advance.

6. Data Retention

We retain your account information and Indexed Content for the duration of your organization's subscription to the Service. Upon termination of your subscription, we will delete your Indexed Content within 30 days, subject to any applicable legal retention obligations.

7. Security

Maiberry maintains commercially reasonable security measures including encrypted data transmission (TLS), encrypted data storage, role-based access controls, access logging, and support for two-factor authentication. We limit access to client data to personnel who need it to operate the Service.

No system is perfectly secure. You are responsible for maintaining the security of your Maiberry login credentials and for promptly notifying us at security@maiberry.com if you suspect unauthorized access.

8. Children's Privacy

The Maiberry Service is not directed to individuals under the age of 18 and we do not knowingly collect personal information from minors. The Service is available only to authorized personnel of government entity clients.

9. Your Rights

Depending on your jurisdiction, you may have rights with respect to your personal data, including the right to access, correct, or delete information we hold about you. To exercise these rights, contact us at legal@maiberry.com. We will respond within 30 days.

10. Changes to This Policy

We may update this Privacy Policy from time to time. Material changes will be communicated to your organization's administrator by email at least 30 days before taking effect. The current version of this Policy is always available at maiberry.com/privacy.
